As part of our commitment to safety at our ACES EMERGE 2022 Conference, all attendees must provide proof of vaccination before checking in.

In addition to Health Pass vaccination verifications, we will also accept medical and religious exemptions. Attendees are required to send a letter via email in advance to info@aceseditors.org from either their medical provider or religious leader. In addition, the attendee must complete and upload a negative PCR test 48 hours prior to arrival at the conference.

For the most efficient entry possible, every attendee must enroll with CLEAR before the event to complete their COVID-19 pre-screening. Once your vaccination record has been uploaded to the platform, it can typically take up to 30 minutes for your status to be verified. We encourage all attendees to complete this process at least 24 hours before the event.

CLEAR is SAFETY Act Certified- As certified by the Department of Homeland Security.


As the conference draws nearer, we want to keep you updated on our COVID-19 safety precautions. We are committed to creating a safe environment where attendees can feel comfortable networking and gathering with their peers and maximize the value of their conference experience.

ACES number one priority is the health and safety of our event participants. Our goal is to hold a safe event, recognizing it is not possible to remove all risks, in particular concerning COVID-19. ACES will put required measures in place to provide a safe environment for its event attendees. Policies for each meeting will be set according to CDC and public health recommendations, federal, state, and local regulations applicable at the time of the event, and what ACES deems necessary to manage the risk for its event attendees. ACES may change, update, or add to these requirements at any time as it deems prudent to best protect the health and safety of attendees and others, and attendees must comply with relevant policies and requirements as communicated by ACES.

ACES cannot be held liable for COVID-19 cases arising because of event attendance and currently requires of all attendees at ACES in-person meetings and events:

  1. A signed Waiver and Acknowledgement of Personal Responsibility to be supplied by ACES
  2. A commitment to wearing a mask at all times, except when actively consuming food or beverage
  3. Proof of full vaccination against COVID-19

Proof of full COVID-19 vaccination means documentation that the individual is at least two weeks past the full primary two-injection course of the Pfizer-BioNTech or Moderna vaccines or a single shot of the Johnson & Johnson vaccine. Consistent with CDC guidance, ACES also strongly encourages attendees to receive a booster dose of either the Pfizer-BioNTech or Moderna vaccines once eligible (i.e., six months after completion of the primary sequence of the Pfizer-BioNTech or Moderna vaccines or two months after a primary Johnson & Johnson injection).

We accept medical and religious exemptions. ACES requires a negative PCR test within 48 hours of your scheduled arrival date at the conference along with a letter from your medical professional or religious leader.

Attendees will be expected to take common actions to reduce the risk of COVID transmission and to behave responsibly (including leaving the event area) in case of exposure to a COVID case or experiencing symptoms. In such a case, attendees should seek appropriate medical attention, including a COVID-19 test, and must immediately inform ACES should a COVID-19 test be positive during the event or in the 14 days following the event.

Failure to comply with all safety protocols and requirements as listed above or related directions from ACES representatives on-site may result in the loss of the right to attend or participate in ACES events, including forfeiting any registration fees paid.

ACES health and safety policies and procedures will be posted on the ACES website and are subject to change.

Typical weather in San Antonio during conference time is very mild and conducive to spending time outside, ranging from lows in the 50s and highs in the 80s. There is space and opportunity to engage outdoors along the Riverwalk.

We appreciate that not everyone is able or comfortable to attend an in-person conference. To that end, we are expanding our annual conference schedule to include a virtual conference this fall with its own full program. We will be announcing dates for the virtual conference this fall in the next few weeks.
